Privacy Policy

How Hit Zero Athletics collects, uses, and protects information about parents and athletes. Effective July 7, 2026.

Who we are

Hit Zero Athletics (“Hit Zero,” “we,” or “us”) operates easton's premier all-star cheer gym based in Easton, MD. This policy explains what information we collect through our website, parent portal, and gym operations, and how we use it.

Information we collect

We collect the following categories of information:

  • Account information. Email address, name, and role (parent, athlete, or staff) when you sign in.
  • Athlete information. Name, date of birth, emergency contact, medical notes, and team assignment for each athlete enrolled.
  • Forms and waivers. Signatures, IP address, and timestamps for liability and consent documents.
  • Payment information. Tuition records, payment status, and a tokenized card reference. Full card details are held by our payment processor (Stripe) and are never stored on our servers.
  • Communications. Records of email and text messages we send to you, your notification preferences (including text-message consent and its timestamp), and delivery status (opens, bounces, undeliverable messages).
  • Usage data. Standard server logs (timestamps, IP, user agent) for security and operational purposes.

How we use information

  • To provide gym services: rosters, schedules, billing, forms.
  • To send transactional messages: sign-in links, receipts, payment reminders, schedule changes.
  • To send gym-wide announcements you have opted into by enrolling.
  • To send optional text-message notifications (such as new highlight-video alerts) to parents who have expressly opted in via the portal.
  • To keep athletes safe (e.g., emergency contact lookup, medical notes accessible to coaches on the floor).
  • To comply with legal obligations, including USASF membership requirements.

Children's privacy

Many of our athletes are under the age of 13. We do not knowingly collect personal information directly from children under 13. Athlete records are created and maintained by a parent or legal guardian through the parent portal. Parents may review, edit, or request deletion of their child's information at any time by contacting us at the email below.

How we share information

We do not sell personal information. We share information only as necessary to operate the gym:

  • Stripe processes payments and stores card data under their own privacy and security standards.
  • Amazon Web Services (RDS, SES, S3) hosts our database, sends transactional email, and stores uploaded documents.
  • Twilio delivers our text messages to your mobile carrier.
  • USASF and competition organizers receive athlete rosters and credentials as required to compete.
  • Law enforcement or legal process, when required by law or to protect the safety of our athletes and staff.

Text messaging

Text notifications are optional and strictly opt-in: we only text parents who have expressly enabled text messages in their portal profile, and consent is never a condition of enrollment or purchase. Mobile phone numbers and text-message opt-in consent are never shared with or sold to third parties or affiliates for marketing or promotional purposes. Message frequency varies and message & data rates may apply. You can stop at any time by replying STOP to any message or turning texts off in your portal profile; reply HELP or contact us at the email below for help.

Photos and media

We sometimes photograph practices, competitions, and gym events for promotional use on this website and on social media. Parents may opt out of athlete photo use at any time by adjusting their consent in the portal or contacting us at the email below.

Data retention

Account and athlete records are kept while a family is enrolled and for a reasonable period afterward to handle billing, insurance, and competition records. You may request deletion of inactive records at any time, subject to our legal record-keeping obligations.

Security

We use industry-standard practices to protect your data: transport encryption (HTTPS) for all portal traffic, access-controlled cloud infrastructure, and the principle of least privilege for staff access. No method of transmission or storage is 100% secure, but we work to keep your information safe.

Your choices

  • Access. Request a copy of the personal information we hold about you or your athlete.
  • Correction. Update inaccurate information in the parent portal or by contacting us.
  • Deletion. Request deletion of your account or athlete records, subject to our retention obligations.
  • Notifications. Turn email notifications and text messages on or off at any time from your portal profile, by replying STOP to any text, or by contacting us. Transactional messages (sign-in links, billing) cannot be opted out of while you maintain an active account.

Cookies and sessions

We use a single session cookie to keep you signed in to the parent portal. We do not use third-party advertising or tracking cookies.

Changes to this policy

We may update this policy from time to time. The effective date above will be updated when we do. Significant changes will be announced in the portal and by email.
